Donor Services Manager

Position Summary:
This position resides in Finance & Administration and is a member of Donor Services. This position will work closely and act as backup to the Vice President of Donor Services, in addition will provide support to the Donor Services or Finance and Administration department needs as defined. Major responsibilities are to process all electronic files, import files to update database,  assist in managing processes to collect and process pledge and payment information through various electronic channels including customer prepared electronic files and internet based data capture systems. In addition, will ensure operational efficiency within the department

Position Responsibilities:
• Learns all that is required to assist and be responsible for working closely with the Vice President Donor Services in the areas of Pledge Processing, System Support (ANDAR) and Donor Certification.
• Acts as backup to Vice President Donor Services as necessary and helps manage day to day Donor Service operations.
• Responsible for assisting in the collecting, recording, sorting, filing and maintaining information and data files in both electronic and hardcopy formats. 
• Helps manage and monitor data and data files within system database.
• Create department processes.
• Responds to requests for assistance via e-Mail or telephone or other method in a timely and effective manner maintaining exceptional standards of professionalism.
• Establish and maintain relationships with staff across all divisions, volunteers, and other related parties to ensure internal and external customer satisfaction.
• Works closely with Resource Development team to implement recommendations for improved processes and reporting where necessary.
• Assist other department functions and team members with projects as needed.

Electronic Campaign Data File Processing
• Analyze employee pledge data received from companies, identify issues & problems and develop procedures and processes using MS Access, Excel or other programs to reformat the data into appropriate file format.
• Review data for discrepancies, request clarification, initiate corrections/adjustments, and advise supervisor of issues related to data and performs data verification/error trapping routines.
• Responsible for processing all electronic pledge data and other electronic files to update into ANDAR database.
• Respond to external and internal customers regarding donor inquiries, donor problem resolution, research requests and information requests.
• Compile and analyze information about new and existing contributors to develop and maintain integrity of the database.
• Manage all data functions including but not limited to data maintenance, account updates, data analysis and designation write-in process.
• Develop procedures and processes to identify and merge duplicate accounts created through the use of the internet based data capture systems and electronic files,

Knowledge, Skills, and Abilities Required:
• BS or BA in Business Administration with a minimum of three years or AA with a minimum of four years of progressively responsible technical experience.
o The right combination of education and/or relevant experience may be substituted in lieu of degree requirements.
• Must possess good analytical skills with an ability to apply those skills to problems and devise solutions.

• Must be able to maintain professionalism, discretion and confidentiality at all times.
• Must possess excellent interpersonal and customer service skills.

Technical Knowledge, Skills, & Abilities Requirements:
• Proficient and Advanced skill level in the use of Microsoft Access, and in Microsoft Office applications (Word, Outlook, and Excel).
• Must be proficient in the development of web pages using HTML, Java and style sheets.
• Ability to use the Internet and have a proven comfort level with learning new software applications as necessary.
• MS CRM knowledge desirable.

Other Requirements:
• Ability to work hours outside the standard 8:30 AM to 5:00 PM timeframe and to travel, if necessary.
• Valid Arizona driver’s license, proof of automobile insurance, and daily access to personal vehicle.
